Your Convention Registration Is Not Complete . . . Until We Receive Your Attendance and Session Spreadsheet!

The 2010 Care Providers of Minnesota “Innovation and Action” Convention & Exposition is just a month away. As registrations are coming in daily, this is a good time to remind you of the importance of completing and returning your attendee and session spreadsheet. This information helps us:
- Prepare and mail your name badges ahead of time, so you and your staff don’t have to stand in long check-in lines when you arrive at the Convention;
- Prepare an appropriate quantity of handouts for each breakout session. While each year we evaluate the possibility of “going green” and only posting handouts online or providing them on a flash drive, we know our members value having handouts during the presentations. Without your attendee and session pre-selections, we will use a default number of copies for this year’s nearly 100 sessions. That will translate to nearly 10,000 sets of material, with handouts ranging in length from 5 to 10 pages each. (Do the math – that’s potentially 200,000 copier impressions. If reflective of the actual copy need, it’s a member benefit we gladly provide. Lacking information on attendees and the sessions they plan to attend, we use our best guess – but that makes us less efficient stewards of Association resources, as copies are potentially wasted or attendees find there are insufficient copies at the session they are attending.)
How you can help: We recognize that the timing of the release of staffing schedules may make it difficult for some staff to plan when they will attend and which sessions; however, your staff’s best guess is much better than our default numbers. We can plan much better based on probable attendance and knowing the sessions those attendees would anticipate attending, even if the actuality differs slightly.
- Assign appropriate space for sessions. Knowing which sessions are going to be most highly attended and which sessions might draw a smaller audience gives us flexibility to set rooms for maximum learning. Your best information helps us immensely!
Remember, we need to have the spreadsheets by October 22, so please make every effort to not only determine which staff will most likely be attending the Convention, but also which sessions they would want to attend. (This information is a guideline for our planning and does not prohibit an attendee from selecting a different session once at the Convention.) We appreciate your help!
